The Opportunity
We are currently looking for a Sales Coordinator to join our team at the legendary Queen Mary. Located in the Port of Long Beach, the Queen Mary features a rich maritime history, authentic Art Deco décor, and stunning views of the Pacific Ocean and Long Beach city skyline. At the time of her maiden voyage in May of 1936, she was considered the grandest ocean liner ever built. Today the Queen Mary is one of Los Angeles’ major attractions, drawing visitors from around the world. The Queen Mary boasts 346 staterooms spanning three decks including nine full suites which have hosted a variety of colorful characters from World War II leaders to British royalty and the stars of Hollywood’s golden era. The ship also features 80,000 square feet of event space in 17 remarkable Art Deco salons as well as a tri-level, 45,000-square-foot Exhibit Hall; signature restaurants including the award-winning Sir Winston’s and Chelsea Chowder House & Bar; and a selection of retail shops. History buffs enjoy the ship’s museum and Behind the Scenes tour, while guests of all ages love the Ghosts and Legends tour and special events such as Scottish Festival, Dark Harbor, and concerts that are hosted on or by the ship throughout the year.
The Opportunity
We are currently looking for a professional, outgoing and organized individual to join our team in the role of Sales and Catering Coordinator at the Queen Mary.
As a Sales and Catering Coordinator, you’ll be primarily responsible to partner and assist the catering sales and group sales teams with achieving established revenue goals and service metrics.
Job Responsibilities
Key responsibilities of a Sales & Catering Coordinator include:
• Assisting Director of Catering and the Director of Sales with day to day office needs
• Providing phone coverage
• Distributing faxes and other communication to appropriate areas
• Creating files and miscellaneous filing of files, papers, checks, electronic communication, etc.
• Creating Sales/Catering menu kits and restocking supply area as appropriate
• Controlling office supplies when necessary
• Creating and distributing department information as appropriate (Banquet Event Orders, Catering information, etc.)
• Processing proposals and contracts
• Bill clients for pre-payments, deposits and final payment due
• Bill clients for AV once invoice received from onsite AVMS
• Creating contracts and correspondence as director by each manager
• Detail EO’s when directed by each manager in EAS
• Create and distribute 18 day report each Monday and route to managers for reviews and updates
• Create purchase orders and manage the department check book
• Compile Month-End revenue reports (PACE)
• Provide forecast reports

Job Requirements
The ideal Sales and Catering Coordinator candidate will have at least one year of experience as a coordinator. If you have high performance standards, a high level of enthusiasm and thrive in a fast-paced team environment then you just might be the candidate that we’re looking for!
The minimum qualifications for this position are:
• Professional and friendly demeanor with a positive attitude
• Ability to multi-task in a high-profile, high-traffic environment
• Ability to read, comprehend and write simple instructions and/or short correspondence and memos
• Clear, concise written and verbal communication skills
• Working knowledge of Delphi, MS Word, Excel and Outlook
