Supervisor, Admitting & Scheduling - Full Time Days; Exempt
On-call for staff scheduling needs for all shifts via pager.

Job Summary:
This position is responsible to supervise, provide work direction, prioritize workflow, facilitate training and education, and monitors the quality of work of subordinate staff in the registration and scheduling department. This person will work closely with a multidisciplinary group of individual team members and managers and other supervisors or leads in related outpatient and inpatient areas to assist in aspects of front end registration, insurance verification capture, collections of copay's and deductibles and overall related processes. The role will be required to identify problems, recognize symptoms, and provide solutions to complex patient access issues in a variety departments within the hospital. Helps develop and update department policies and procedures, establish goals and objectives, set standards and monitors financial reports to enhance front end registration processes and overall reimbursement/collection potential. Conduct interviews, maintain attendance records and personnel files, evaluate performance, and recommend disciplinary action as needed. Performs other duties as assigned.

Required Qualifications:
- Associates Degree
- Two years experience in healthcare registration, billing, or clinical administration

Preferred Qualifications:
- Supervisory experience

1. Supervise workflow of registration, scheduling and information desk personnel
- Holding staff accountable for meeting higher standards of care and service to all patients, customers and members
- Organize and arrange department training, huddles to include flexibility to accommodate staff who primarily work weekends, nights, and casual status
- Complete annual reviews, time-card approvals and 1:1 meetings with staff
- Meet regularly with department registration leads to problem solve daily staffing issues
- Mentor and provide guidance to registration lead(s) to aid with implementing standard work and audit daily work of staff
- Able to perform the basic job description of admitting registrar and understand the department specific differences in job roles

2. Staffing responsibilities
- Conduct interviews, hire, on-board, evaluate performance, and recommend disciplinary action
- Train and/or facilitate training for new hires
- Create and maintain the staffing schedules for all areas in registration, scheduling, check-in, admitting and information desks for all shifts
- On-call for staff scheduling needs for all shifts, via pager, and communicate any
delegation or rotation of on-call when applicable
- Coordinate and approve the scheduling of time-off to ensure adequate staffing coverage
- Foster positive interpersonal relationships between teams

3. Enhance communication
- Assist patients, customers and members with quality of care addressing any department complaints and follow up on patient concerns
- Provide real time feedback to staff
- Provide real time communication to patients and visitors

4. Quality Assurance
- Monitor and track trends and offer solutions for areas of opportunities to improve patient experience and access
- Use phone reporting tools to improve quality and accuracy
- Use phone reporting tools to problem solve patient complaints
- Use reporting tools to offer real data for employee reviews
- Report patient safety concerns into MIDAS and gather information for resolution
- Follow through on any privacy concerns by gathering information and reporting to department manager and aiding in conducting informational investigations

5. Establish team standards and measure outcomes
- Creating standard work in collaboration with department manager
- Audit of standard work and updating standard work documents
- Placing IS&T tickets to optimize workflows and operations

6. Policies and procedures
- Ensure staff are complaint with annual mandatory education
- Ensure staff are compliant with department assigned education and training
- Attend designated meetings relating to registration, scheduling and admitting
- Attend designated meetings as instructed by department manager or in the absence of the manager
