Executive Assistant, SVP Chief Marketing Officer- Temp

POSITION SUMMARY STATEMENT
The Executive Assistant to the SVP, Chief Marketing Officer will support the SVP, Chief Marketing Officer in all aspects of daily business. The Executive Assistant will function as an advocate of the SVP, Chief Marketing Officer The ideal candidate will help maintain an organized and efficient office and operate independently as a forward-thinking multi-tasker who consistently produces high-quality, accurate work. Exceptional organizational skills and meticulous attention to detail are a must. The Executive Assistant to the SVP, Chief Marketing Officer will also offer support to other senior management as assigned.

ESSENTIAL DUTIES AND RESPONSIBILITIES
• Perform as Ambassador representing the SVP, Chief Marketing Officer with the utmost professionalism helping drive business while remaining sensitive to time constraints and daily work load
• Performs administrative duties for other assigned senior management as needed
• Organizes and maintains appointment calendar with a comprehensive understanding of priority and efficiency
• Recognize issues, rationalize, and demonstrate excellent judgment when acting on behalf of the SVP, Chief Marketing Officer, other executives and the Company
• Candidate must be able to professionally and confidently interact and communicate effectively with all levels of employees including Board Members, clients, visitors and vendors
• Learn the Company’s products, services, procedures, processes and culture
• Create presentations for Board Meetings, executive committee presentations and business reviews utilizing Power Point and Excel
• Meeting & teleconference coordination - Schedule & set-up of meeting room (onsite or offsite) and equipment for executive staff meetings, Board Meetings, client and prospect meetings, etc
• Board Member coordination assist and support all Board Meetings, communications, approvals, teleconferences
• Answer all communication via email or phones in a professional and courteous manner
• Screen phone calls, visitors and mail for SVP, Chief Marketing Officer as necessary
• Manage Filing System for electronic and paper documents; centrally file and collect all pertinent contracts and agreements; adhere to document retention policy
• Compose, edit, and proof letters and memorandums
• Make business travel arrangements and create detailed itineraries for domestic and international travel
• Create and submit expense reports in a timely manner

• Adhere to local, state and federal laws
• Additional responsibilities assigned by supervisor related to your position/department
• Ability to be flexible and willing to work extended hours when necessary


SUPERVISORY RESPONSIBILITIES
• This position does not have supervisory responsibilities

Education/Experience:
• BA/BS in Business Administration preferred
• 2-5 years of Administrative support to C level individuals; Luxury or Marketing background a plus
• Highly proficient in Microsoft Office (including but not limited to Outlook, Word, Excel, and PowerPoint).
• Highly adept with computer and presentation equipment.
