Administrative Support Assistant- Records

Responsible for providing general clerical and administrative support to department staff to include: greeting customers, answering calls and emails; answering general questions; collecting information from customers; forwarding information along to the appropriate staff; collecting information from supervisor or department staff to be organized and distributed to residents; collecting fees, maintaining and updating confidential department and personnel files; collecting information from multiple sources to create files; processing and tracking purchase orders, invoices, check requests; reconciling purchases against department budget; entering information into and maintaining accuracy of department databases; running standard reports; and opening and distributing mail. Work is performed with moderate supervision.

POSITION SPECIFIC JOB FUNCTIONS:

  • Receive, review, and prepare criminal cases for submission to District Attorney offices; enter and maintain case reports and other information; responds to requests for information from the general public, serves as a point of contact between the Department and District Attorney Offices; prepare arrest warrants; maintain juvenile and adult records, processes, validates and upload records; Processes and prepares open records, subpoenas, and report requests by the general public, courts, attorneys, and law enforcement agencies. Prepare the state Uniform Crime Report including report coding; Maintains and retains records as mandated by state law and meets Department and state reporting deadlines. Proficient in MS Office Software Suite, Department RMS, and other necessary software systems and related office equipment including phone, fax, copiers, scanners, etc. Effectively interfaces with the public at customer window including assisting the public with making staff contacts. Receives and distributes department mail. Completes other tasks as assigned.
  • Must successfully complete an extensive background check, including criminal history check, polygraph, and psychological exam prior to appointment. Employees will undergo routine criminal history checks during employment to verify ongoing specialty state compliance certification

MINIMUM QUALIFICATIONS:

  • High School Diploma or G.E.D.
  • One year of customer service or general office experience.

PREFERENCES (if applicable):

  • Bilingual in English and Spanish.

CONDITIONS OF EMPLOYMENT

  • Must pass pre-employment drug screening.
  • Must pass pre-employment physical exam.
  • Must pass extensive background check and criminal history investigation.
  • Must pass pre-employment polygraph examination.
  • Must pass pre-employment psychological examination.

PAY RATE:
$15.15 HOURLY
