The Opportunity
We’re currently looking for a professional, outgoing and organized individual to join our team in the role of Sales Coordinator.
As a Sales Coordinator, you’ll be primarily responsible for supporting our Sales Team and ensuring that they have the tools, supplies and resources that they need to deliver service that sets us apart.
Job Responsibilities
Responsible for professional, proficient and timely clerical and administrative support for the hotel’s sales process. Assist the Sales/Catering Managers, Director of Sales & Marketing in soliciting, developing and maintaining accounts in the corporate, government and leisure market segment and catering/banquet business and hotel marketing support.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following.
• Handle and qualify all sales/ meeting room calls. Request room setup and A/V equipment needs; deposit and or payment requirements and any catering needs
• Send out meeting/ room contracts with the customer requests
• Facilitate proposals for Sales/Catering Managers.
• Prior to leaving, meet with the attendee to insure any last minute items are handled and that any further requests can be directed to the Sales Manager and/or DOSM
• Prepare weekly BEO packet and attend weekly BEO meetings with Catering Manager.
• Handle all group inquiries if Sales Manager not available. Send out contract and cover letter to group/tour with instructions and deposit/payment requirements
• Prior to group arrival, make sure signed contract and form of payment is on file
• Two weeks prior to arrival, make sure rooming lists have been received. If not, notify the group and request the contract be faxed with a signature in order to hold the block and the original is sent in the mail. Release block when rooming list is received or at proper cut-off
• Prepare weekly/monthly sales and catering reports for Managers and DOSM.
• As needed, type and update any special rates negotiated for ongoing corporate accounts and groups
• Proactive assistance in site tours, assisting in preparation for sales calls, sales initiatives
• Assemble sales packets to include all specific hotel information
• Send Thank You letters or cards for all groups, meeting rooms and tours that have stayed or used the hotel.
• Assist Events/Catering Manager and Food/Beverage in facilitating all hotel related event and buyouts.
• Facilitate all VIP arrival amenities.
• Experience in OPERA PMS and OPERA Sales & Catering a plus.
• Must be a team player.
Job Requirements
The ideal Sales Coordinator candidate will have at least one year of experience as a coordinator. If you have high performance standards, a high level of enthusiasm and thrive in a fast-paced team environment then you just might be the candidate that we’re looking for!

• Professional and friendly demeanor with a positive attitude

• Ability to read, comprehend and write simple instructions and/or short correspondence and memos
• Clear, concise written and verbal communication skills
• Working knowledge of MS Word, Excel and Outlook
