The Opportunity
We’re looking for a Catering Event Manager to join our Sales and Catering crew!

As Catering Event Manager, you’ll coordinate details of all assigned groups once the signed contract is received from the client. Establish and maintain open, collaborative relationship with direct reports, peers and entire event planning team. Maintain accurate, organized and up-to-date group client file.


Summary of essential job functions
• Coordinate details of all assigned catering groups once the signed contract is received.
• Send intro letter outlining deposit schedule, dates of final guarantee, and any other outstanding items.
• Review meeting space requirements and insuring that all space is blocked correctly
• Contact client to coordinate meeting, banquet and restaurant requirements as well as schedule and conduct all tastings.
• Work with Culinary team to prepare banquet event orders to the client specifications and send to client for signature
• Prepare and distribute a group resume and/or coversheet
• Contact all catering clients 72 hours prior to their event to review their final arrangements and guarantees. Communicate all changes and additions to the necessary departments
• Participate in the daily and weekly BEO meeting
• Establish and maintain an effective up selling strategy to maximize revenue opportunities
• Establish and maintain open, collaborative relationships with direct reports, peers and entire event planning team, is visible and accessible to associates
• Ensure effective communication among the team and all other departments to execute performance and meet and exceed clients’ expectations
• Ability to manage time effectively
• Maintain accurate, organized and up-to-date client file
Minimum requirements
• Experience at a similar size and quality hotel
• Proactive sales approach; assertive and fast-paced, driven to succeed
• Minimum one year experience as an Event Manager
• Excellent customer service skills and ability to create a positive atmosphere for guest relations and internal guests
• Ability to quickly evaluate alternatives and decide on a plan of action
• Clear, concise written and verbal communication skills
• Problem solving and decision making skills
• Working knowledge of MS Word, Excel and Outlook
• Knowledge of DELPHI and experience a must!
• Comprehend and use technical or professional language, either written or spoken, to communicate complex ideas.
• Must possess strong communication and listening skills, excellent speaking, reading and writing.
• Ability to effectively present information in one-on-one and group situations to customers, clients, and other employees of the organization.
• Ability to sit, stand and move throughout the hotel for extended periods of time.
Skills / Ability to:
• Listen, and read the customer; identify needs and respond accordingly
• Translate customer wants and needs into success for the customer and Hard Rock
• Quickly evaluate alternatives and decide on a plan of action
• Use clear, concise written and verbal communication skills
• Obtain an understanding of lifestyle hotel products and guest services
• Work and interact well with departments throughout the organization
• Communicate clearly and directly with guests using a positive, clear speaking voice
• Effectively deal with internal and external customers and staff, some of whom will require high levels of patience, tact and diplomacy
• Handle stressful situations in a calm, professional manner
• Read, comprehend and write simple instructions and/or short correspondence and memos
• Use logic to define a problem, collect information, establish facts, draw valid conclusions, interpret information and deal with abstract variables for unique or unfamiliar situations
